AIDS Institute Reporting System (AIRS) is a fully automated tracking, reporting and billing system designed to meet the reporting needs for the New York State Department of Health--AIDS Institute and its contractors in response to federal and state reporting requirements. These contractors represent a broad range of provider types, from primary care clinics to multi-service community-based organizations that support a range of services including case management, medical and health related care, substance abuse services, and mental health services. AIRS is developed by Defran Systems for the New York State Department of Health's AIDS Institute. Defran Systems is responsible for the enhancing the AIRS and selecting hardware, coordinating the implementation of the system to all providers, conducting both group and individual system training, writing user documentation and training curriculum, and providing technical support.

Computer Purchasing Recommendations by The AIDS Institute (APRIL, 2010)

The following specifications reflect recent advances in marketplace technology. Therefore, these specifications will facilitate a wide variety of computer uses and should provide sufficient capability for the medium-term horizon. NOTE: This configuration is recommended for new purchases.

To insure the quality of purchases, all computer systems should be purchased from major name brand computer manufacturers.

Processor
Computer with Intel® Core™ i5 processor with a minimum processing speed of 3.2GHZ. This should include 4MB of Processor Cache.

RAM
4 GB of RAM

Hard Drive
320GB 7200 RPM Hard Drive

Operating System
Windows XP Professional (32 bit) or Windows 7 Professional (64 bit)

Agencies are strongly urged NOT to upgrade a Windows XP System to Windows 7 as this may cause undesirable results.

Optical Storage
DVD-RW Drive

Monitor
19" Monitor but a 21-22" Monitor is preferred, if the work area can accommodate it.

Graphics
Digital Video Card (DVI) with at least 512MB of RAM if purchasing a new Monitor

Network Interface Card (NIC)
Needed if the computer will be on a network

Software
An office productivity product
Virus Protection Software with an up-to-date subscription
Current version of the Adobe Reader Software

Factory Installed Software/After Market Software: The agency must insure that all software on the computer is properly licensed. Not all software may be legally transferred from one computer system to another. Check with the software’s manufacturer or the EULA that came with your software for information.

Optional but Desirable Components (depending on the work environment)

Laser Printer
If running AIRS as a stand-alone or if not wishing to print to network. Cost of printer will vary depending on the number of pages per month that need to be printed. (Printers connected to the network will need a network card). Choice of Black & White or Color will depend on work being done.

320GB USB External Hard Drive for Backup
This is strongly suggested for providers with no or unreliable backup procedures. Backup software is needed if not included with the External Hard Drive.

Please Keep in Mind: The availability of PCs in the market changes every few months. Therefore, these specifications are based on what is currently available. A computer with a more memory, speed, etc. will allow optimal performance. For example, with more memory (larger amount of RAM), most software packages today will see better performance. Windows 7 Professional (64 bit) will recognize RAM beyond 4GB. This will further improve performance. The “Intel® Core™ i7 processor” with 4MB of cache and a minimum processing speed of 3.00 GHZ will further extend the useful life of the computer.
